Person details

Applicant’s personal data

  • Family Name: Your family name is typically the last part of your name, which comes after your given name or first name. For instance, if your name is Shahrukh Khan, ‘Khan’ is your family name. In case your passport does not have a separate field for your family name, you can use your first name as your family name.
  • First name(s): If you have any middle name(s) you can add here with your first name
  • Date of birth: In dd.mm.yyyy format.
  • Place of birth: Provide the city of your birth as the place of birth.
  • Country of birth

  • Current nationality

Parents of the applicant

In this section, you need to enter details about your parents. Required Information:

  • Family name of father: The last name of your father.

  • From: Fill in the expected date of your travel to Germany. Try to choose a date that is close to the starting date of your course.
  • To: Enter the duration of your course or program in Germany. If your course is five years long, add five years to the date you entered in the “From” field. If you plan to attend a Studienkolleg program before starting your Bachelor’s degree, please add the duration of both programs together.

When completing the VIDEX form, it is essential to provide accurate information about the institution or company you will be visiting. This includes the name of the establishment and its designated contact person.

  • Type of reference: To begin, select the appropriate category for your reference, such as educational establishment, company, or organisation.
  • Name of the educational establishment, company or organisation: Next, enter the full name of the institution you will be visiting, such as “Hamburg University,” for example.

In the following fields, you will need to provide the contact details of the designated representative from the institution. You can typically find this information on the letter you received from the university after applying.

In case the contact person for the institution or company you will be visiting is not mentioned on the letter you received, don’t worry. You can easily find this information on the institution’s website. Navigate to the website and locate the “International Office” section. This section typically contains information for international students and visitors, including the name and contact information for the appropriate representative.

Then you will have to enter the address of your university. This information is usually given in the footer of your university’s website. If not, check for “Contact Us”. You will have to look around but you will find these information on the website only. If still you have confusion, you can email the university and ask them to give you the address.

  • Town/City: Enter the city of your university.
  • Do you intend to retain your permanent residence outside the Federal Republic of Germany?: Yes
  • Do you have health insurance (for a longer stay) for the Federal Republic of Germany?: Yes
  • Have you ever been to the Federal Republic of Germany before?: If you have, then select Yes.

Important notes

Saving the VIDEX form

If you’ve started filling out a form but need to take a break, you may be worried about losing your progress if your browser tab closes. Fortunately, there’s a solution! Look for the “Save” button at the end of the application form. Clicking on it will save a JSON file to your computer that contains your partially completed form.

The next time you want to continue filling out the VIDEX form, simply open it up and click “Import data” at the top of the page. Select the JSON file that you previously downloaded to your computer and click “Open”. This will load the form with all the information you had entered before, allowing you to continue where you left off.

Saving the pdf and printing the VIDEX form

Once you have finished filling out the VIDEX form, be sure to click on the “Continue” button to save the completed form as a PDF file. It is essential to print out two copies of the form to bring with you to your visa appointment.
